The purpose of this Privacy Policy is to outline what personal data we collect, how we use it, and what rights you have regarding its processing. The term “processing” refers to any operations on your personal data, such as collection, storage, use, or deletion.

We are a recruitment and outsourcing agency, providing support in job searching, presenting job offers, and transferring data to potential employers.

You may provide us with your data:

  • by responding to our job offers posted on our website;
  • by sending your application documents through the form on our website.

The administrator of personal data is IN4GE Sp. z o.o. based in Warsaw, ul. Poznańska 16/4, 00-680 Warsaw. We determine the purpose and method of processing your data.

III. Type and Purpose of Personal Data Processing

We process personal data that allows for identification, such as name, surname, email address, phone number, image, data regarding professional experience, education, as well as other information provided by you during the recruitment process. This data is processed to conduct recruitment processes for our needs and at the request of potential employers.

IV. Legal Basis

The legal basis for processing your personal data includes:

a) Our legal obligations arising from the provisions of the Labor Code, justifying the processing of data for recruitment purposes (Article 6(1)(c) GDPR).

b) Actions taken prior to entering into an employment contract, temporary or civil law contract (Article 6(1)(b) GDPR).

(c) Our legitimate interest, including marketing of services, investigation of claims and conducting analysis of the quality of services provided (Article 6(1)(f) of the DPA).

d) Your consent to the processing of data not covered by the above categories, including data that exceeds the statutory scope of the Labor Code (Article 6(1)(a) GDPR).

V. Sharing Personal Data

Your personal data may be shared with the following categories of recipients:

a) Potential employers seeking employees with your profile.

b) Companies providing services that support us in processing your data. For such providers, we are responsible for determining the purposes and methods of data processing.

c) Our employees and collaborators, i.e., authorized persons who need access to your data within the scope of their duties.

d) Personal data administrators who may themselves determine the purposes of processing, such as recruitment portals.

e) State authorities that may request the disclosure of your data.

VI. Transfer of data to third countries

We transfer personal data to countries outside the European Union or the European Economic Area only in specific situations:

a) If processing occurs in a country where the European Commission has deemed the level of data protection adequate (Article 45 GDPR).

VII. How long do we keep your personal information?

Your personal data will be retained by us until the recruitment process in which you participate is concluded. They will be deleted within a month after its completion. If you consent to the processing of data for future recruitments, they will be stored for a period of three years from the date of consent.

VIII. Rights Related to Personal Data Processing

In relation to the processing of your personal data, you have the right to:

(a) Access to data: You can obtain information about whether we process your personal data and request details about the purposes of processing, data categories, recipients, data retention period and other aspects.

(b) Correction of data: You have the right to request the correction of inaccurate personal data or to have it completed when it is incomplete.

(c) Deletion of data: You can request deletion of your data if it is no longer needed for the purposes for which it was collected, or if you have withdrawn your consent to its processing.

(d) Restrictions on processing: You have the right to request restrictions on the processing of your data in certain situations, such as questioning its accuracy or objecting to processing.

(e) Object to processing: You may object at any time to the processing of your data based on our legitimate interest, as well as for direct marketing purposes.

(f) Data portability: In the case of data processing based on consent or contract, you have the right to receive your data in a machine-readable format and transfer it to another entity.

(g) File a complaint: If you believe that we are processing your data unlawfully, you have the right to file a complaint with the supervisory authority, which is the President of the Office for Personal Data Protection.

(h) Revocation of consent: You may revoke your consent to the processing of your data at any time, but this will not affect the legality of prior processing.

Each request will be considered within one month from its receipt. If an extension of the deadline is necessary, we will inform you and provide reasons for the delay.

IX. Data Protection

We take care of the security of your data at every stage of its processing. All data transmitted electronically is protected through encryption. Paper documents are stored in locked cabinets, and the computers we use are equipped with appropriate security measures to prevent unauthorized access.

Only authorized persons have access to your data. In addition, we apply various technical and organizational measures to minimize the risk of breach of personal data protection. We require our service providers to ensure adequate security standards.

X. Automated Data Processing

We do not process your personal data in an automated manner or in the form of automated profiling. However, we use data regarding your professional life, such as education and experience, to personalize job offers and provide them to potential employers. This process involves our employees, not automated algorithms. The data administrators are the owners of the portals you use. We do not make decisions solely based on automated processing that could have significant impacts on your situation.

IN4GE Sp. z o.o. reserves the right to modify this Policy or introduce a new version of the Policy. Information about changes will be posted on our website www.in4ge.pl. In the case of significant changes to the Policy, we may also contact you by sending a message to the email address you provided.
